2. Scope of this policy
This policy covers personal data processed through our marketing website, contact and demo request forms, account signup and onboarding, and the Commbots product (including WhatsApp Business API connectivity, AI chatbots, shared inbox, campaigns, automation, and integrations).
If you are a business customer using Commbots to message your own end customers, you are typically the data controller for those conversations. We act as a processor or service provider for that messaging data, subject to your account agreement and applicable Meta/WhatsApp Business Platform terms.
3. Information we collect
Account and business information: name, email, phone number, company name, job role, preferred language, and related onboarding details you provide when creating or managing an account.
Contact and sales enquiries: information submitted via demo requests, contact forms, WhatsApp, email, or phone, including message content and follow-up notes needed to respond.
Platform usage data: login activity, feature usage, configuration settings, message metadata required to operate WhatsApp and other channels, delivery status, templates, inbox assignment data, and technical logs needed for security and support.
Customer message content (on behalf of business customers): WhatsApp and other channel messages, media, and contact identifiers that you or your end users send through Commbots, processed to provide the service you configure.
Website analytics and device data: IP address, browser type, device information, pages visited, referring URL, and approximate location derived from IP, collected via cookies or similar technologies such as Google Analytics.
Payment and billing information: where applicable, billing contacts, invoices, plan selections, and payment references processed through our payment or accounting providers. We do not store full card numbers on our servers when payments are handled by a third-party processor.
4. How we use information

Process demo requests, respond to enquiries, and communicate about product updates, pricing, and service notices.
Enable WhatsApp Business API messaging, AI chatbot responses, shared inbox workflows, campaigns, automation, analytics, and CRM/ERP integrations you enable.
Monitor performance, prevent fraud or abuse, troubleshoot issues, and comply with legal or regulatory obligations.
Measure website traffic and campaign effectiveness using analytics tools.
5. Legal bases and UAE context
We process personal data where necessary to perform a contract with you, to take steps at your request before entering a contract, to pursue legitimate interests such as securing and improving our services (balanced against your rights), where you have given consent (for example certain cookies or marketing communications), or where processing is required by applicable law.
As a UAE-based business, we handle personal data in line with applicable United Arab Emirates data protection requirements and any contractual commitments we make to customers in other jurisdictions.
6. WhatsApp, Meta, and messaging channels
When you connect WhatsApp Business Platform or other messaging channels, message delivery and some processing also occur under Meta Platforms and other channel providers’ terms and privacy practices.
You are responsible for obtaining any required consent from your end customers, honouring opt-out requests, and using templates and messaging in accordance with WhatsApp Business and local marketing rules.
We process messaging data only as needed to provide the service, support your account, maintain security, and meet platform or legal requirements.
7. Cookies and similar technologies
Our website uses essential cookies needed for security, locale preference, and basic site operation.
We also use Google Analytics (measurement ID G-K410EJGDEP) to understand how visitors use the site. Google may process data according to its own privacy policy.
You can control cookies through your browser settings. Disabling some cookies may affect site functionality.
8. Sharing of information
We do not sell personal data.
We may share information with: (a) service providers who help us host, email, analyse, bill, or support the platform; (b) Meta and other messaging or integration partners you connect; (c) professional advisors; and (d) authorities when required by law or to protect rights, safety, and security.
If we are involved in a merger, acquisition, or asset transfer, personal data may be transferred as part of that transaction, subject to appropriate protections.
9. International transfers
Our primary operations are in the United Arab Emirates. Some subprocessors or cloud services may process data in other countries.
Where we transfer personal data internationally, we take steps designed to provide an appropriate level of protection consistent with this policy and applicable law.
10. Data retention
We retain personal data only as long as needed for the purposes described above, including providing the service, resolving disputes, enforcing agreements, and meeting legal, accounting, or reporting requirements.
Account and messaging data retention may also depend on your plan settings, deletion requests, and WhatsApp/platform retention rules. You may request deletion of account data subject to legal and operational limitations.
11. Security
We use technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
12. Your rights and choices
Depending on applicable law, you may have the right to request access to, correction of, or deletion of your personal data; to object to or restrict certain processing; and to withdraw consent where processing is based on consent.

13. Children’s privacy
Commbots is intended for business use. We do not knowingly collect personal data from children. If you believe a child has provided us personal data, contact us and we will take appropriate steps to delete it.
14. Third-party links and services
Our website or product may link to third-party sites or services (including Meta, CRM tools, analytics, and payment providers). Their privacy practices are governed by their own policies, not this one.
